For the purposes of UK data protection law, PortalEdge AI is the data controller for personal data collected through this website. Where we process property portal leads on behalf of our estate agent clients, the estate agent is the data controller and PortalEdge AI acts as a data processor under a Data Processing Agreement.

Estate Agent Clients

Portal Lead Data (on behalf of our clients)

The legal basis for processing portal lead data is the performance of our contract with the estate agent client, who maintains their own legal basis for processing vendor data (typically legitimate interest in responding to property enquiries).

4. Third Parties and Sub-processors

We use the following third-party services to deliver our platform:

Anthropic (Claude AI) — AI lead qualification (United States)
Make.com — Workflow automation (EU)
Twilio / GoHighLevel — SMS delivery (United States)
Google — Data logging and reporting (United States)
Zoho Mail — Email processing (India/EU)

Where data is transferred outside the UK, we ensure appropriate safeguards are in place, including UK International Data Transfer Agreements and adequacy decisions.

We do not sell your personal data to any third party.

5. Data Retention

Website enquiry data is retained for up to 24 months from your last contact with us. Portal lead data processed on behalf of estate agent clients is retained for up to 12 months unless otherwise agreed with the client, after which it is securely deleted.

This website does not currently use cookies or tracking technologies. If we introduce analytics or tracking in the future, we will update this policy and implement a cookie consent mechanism as required by PECR.

We implement appropriate technical and organisational measures to protect personal data, including encryption of data in transit (HTTPS/TLS), access controls, and regular security reviews. All sub-processors are contractually required to maintain equivalent security standards.
